COMPETENCY BASED KEY DELIVERABLES

Role will require 2 days per week in Basildon:

* Responsible for decisions made during the course of duties, seeking guidance and escalating issues where appropriate
* Assist with the delivery of project plans and workstreams, as directed by line manager and raising any issues with delivery to line manager
* Required to supervise less experienced team members and demonstrate how to perform tasks within the remit of their role
* Responsible for the monitoring of one or more budgets
* Seeks best value for money within own area of work
* Overall responsibility for the tracking and monitoring of ICS funded IT assets regularly and reconciliation to Commissioning Support Unit Schedules / invoices provided by Arden & GEM CSU.
* Developing processes and information systems to help ensure compliance in the ICS and liaising with senior staff at sites across the ICS to collect data and distribute policy.
* Plans, manages and performs asset audits in complex situations.
* Develop and maintain an IT stock system with detailed information relating to ICS funded equipment.
* Order equipment, tools and materials in line with corporate policies and procedures.
* Analyse utilisation information for the production of reports or system updates using Microsoft Excel or other available software.
* Utilise the ICB ordering system to raise Purchase Orders on ISFE, ensuring that SFIs are adhered to.
* Receipt goods received and ensure they are entered into the asset tracking systems.
* Monitor IT invoices, and ensure they are approved by the appropriate budget holder.
* Support IT Projects and manage assigned project work as required.
* Supporting & challenging projects to successful completion. This includes making sure that adequate risk logs with mitigation actions are completed.
* Assurance that risk and issue logs are maintained for all projects and programmes, updated regularly and priority risks are escalated as required.
* Attend any internal / external committees or meetings as required.
* Participate / organise any organisational returns relating to the programmes to external bodies.
* To provide a full administrative service relating to delivery of the programme and projects, including production of good quality, accurate and timely documentation, correspondence, technical reports and presentation materials.
* To ensure that the team has a work schedule in place and that there are tracking mechanisms in place to monitor projects ensuring they are completed to agreed deadlines and issues and risks are appropriately logged, managed and escalated. This will include understanding the work of the team and the roles of individuals in the team to assist with the allocation of work responsibilities.
* To ensure that all relevant programme and project documentation in relation to the project/ programme(s) is stored using specified project management tool, accessible and appropriately updated.
* To assist in the ongoing design, support and maintenance the business processes of the team and its interface with other ICB services.
* To assist with the analysis of information in support of the team activity to inform decision making and to monitor progress. This will include the maintenance of paper and software based information and administrative systems.
* Must provide a confidential and sensitive service when exchanging information - this may be contentious/ confidential/ sensitive information and will require the post holder to use tact, diplomacy, agreement or persuasive skills to ensure the communication is effective.
* Provide administrative support to the Programme Delivery team using self-initiative and judgement when required.
* Take minutes at informal and formal meetings as required.
* Arrange meetings, conferences and workshops both internally and externally. This will include booking of venues, ordering refreshments and catering as required.
* Co-ordinate meetings by liaising with relevant departments, setting agendas, taking formal minutes and taking follow-up actions as appropriate.
* Create high quality documents including keying in and amending data on spreadsheets, updating relevant information systems and assisting with the compilation of Assets information.
* Undertake photocopying and scanning in a timely and efficient manner as required.
* Process post and distribute accordingly and ensuring outgoing post is delivered in a timely manner.
* Order equipment and tools as required and when necessary, monitor levels of essential products and order in good time.
* Assist with developing IT / Digital sections for the ICB Annual Report other reports / plans as required.
