Leonardo, Yeovil has an opportunity for a part time Front of House (FOH) Receptionist. The role is for 30.5 hours per week but the successful candidate will need to be willing to be flexible and cover holidays, sickness etc. when required.

 

The key principle tasks associated with the Front of House (FOH) staff shall include but not limited to:

 

  • To meet and greet all visitors to the site, control access and issue passes using computerised booking-in visitor system.
  • To deal with all queries and problems that arise in the general day-to-day running of the FOH including answering and dealing with telephone and email enquiries.
  • Contacting nominated hosts and liaising with all departments, as required, to ensure that the correct level of access is in place and those who require escorting are duly escorted.
  • Receiving prohibited items from visitors for safe keeping.
  • Associated administration with visitor requests and enquiries; vehicle hire, taxi's, postal deliveries, processing internal mail etc.
  • Process and maintain the issue of identity cards (or different types of passes) for all categories of personnel and to maintain, protect and control the relevant database holding such detail.
  • Monitoring and keeping up to date with outstanding badges and car passes.
  • Reporting and recording irregularities.
  • Booking people in for photos and checking clearance status of individuals as required.
  • Maintain car key logs.

Additional duties for admin support role

In addition to the above duties, a receptionist will provide an admininstration support role to the function of security administration, which may include the following:

  • Checking emails daily for visits requests.
  • Entering visits onto the diary; informing reception of any special requirements for visits
  • Receiving and processing application forms for site passes.
  • Accurately entering foreign national security details on the visits database.
  • Receiving and processing applications to travel abroad on business.
  • Having a basic knowledge through the understanding of all aspects of International Visits Procedures in order to be able to provide cover for sickness, short notice absences and leave.
  • Filing and maintaining the vetting records. As previously listed, the management of the pending file which the reception are to support.
  • Assisting with and completing the vetting process for new starters, employees and contractors in line with HMG Baseline Personnel Security Standards (BPSS).

Customer Care - Access Control

Additionally, the reception acts as a point of access control for employees entering and leaving the buildings and, as such, access is to be managed by the receptionist. All employees, visitors and contractors entering or leaving through the reception are to be acknowledged by the receptionist with an appropriate response.
