About the opportunity:

Our Client is a medium sized UK company Leading Design and Manufacture within the defence and security sectors, and is seeking a HR Co-ordinator to join the HR team providing to deliver a professional service to effectively manage the administration activities associated with the 'employee life cycle' and all people related systems, processes and activities. The opportunity is for an experienced HR Officer working within the HR Team to continuously improve the performance of the HR Function, people systems and processes in the organisation to deliver First Class Service to their internal and external stakeholders.

The successful individual will join a team of 2 existing HR professionals reporting to the HR Manager on a permanent contract basis, either full time or part-time basis for the right candidate based on level of experience.

Skills & Requirements:

  • Be CIPD part qualified or working towards achieving this. A graduate preferably in an HR related discipline, plus 2 years' experience (this can include periods spent as an intern).
  • Possess exceptional administration and organisational skills with excellent attention to detail at all times.
  • Clearly demonstrate the clients values of Teamwork, Integrity, Courage and Excellence at all times and be seen as a role model to your client groups and team.
  • Be highly organised with strong literacy and numeracy skills.
  • Be self-motivated to drive for results.
  • Have the ability to work under pressure with a 'right first time' approach to all tasks in order to provide a First-Class Service to internal/external stakeholders.
  • Have previously used HR Systems preferably PeopleHR or similar and be strong analytically with excellent IT skills and a working knowledge of using and producing data using HR/MRP/ERP systems.
  • Have a proven ability to build relationships and communicate with people at all levels both internally and externally to the business.
  • Demonstrates a strong desire to learn and develop personally.
  • Ensure confidentiality is maintained at all times due to the sensitive nature of this role.

Responsibilities:

  • Support all key HR generalist activities and employee relations issues (including but not limited to; Absence Management, Family Friendly Policies, Performance management, Disciplinaries and Grievances) and the preparation of accompanying correspondence and administration requirements throughout entire HR lifecycle.
  • Co-ordinate all recruitment and selection activities (including Graduate & Student Placement activities), working closely with Hiring Managers/key stakeholders to create and update job profiles, adverts (various methods including Direct, PSL and external agencies/suppliers), manage candidate tracking and application process, preparing interview scripts, arranging interviews and managing expectations throughout the process.
  • Producing monthly and ad-hoc MI/data as requested, to include employee headcount, turnover, absence etc. as well as ad-hoc requests from HR/Senior Leadership Team.
  • Absence management administration and reporting, including: answering company sick pay queries, signposting employees and line managers on the policy and ensuring all absence is appropriately logged on PeopleHR system.
  • Proactive ownership of the HR Team inbox and acting as an initial point of contact for queries, actioning/allocating tasks to the HR team members as necessary and ensuring effective communication with colleagues when queries/tasks need to be prioritised or escalated.
  • Ensures our external recruitment partner(s) manage our resourcing requirements in line with agreed SLAs.
  • Ensuring the HR Tracker database is kept accurate and up to date at all times.
  • Supports the Onboarding process, including responsibility for processing job offers, adding new starters, leavers, annual and other absence/ leave information, providing employment and financial references and processing changes to terms & conditions of employment.
  • Running the Company induction programme and related activities including inviting participants/speakers, booking rooms and running the induction schedule.
  • Demonstrates a good understanding of Comp & Benefits, including producing timely management information to inform the annual performance and salary review process.
  • Participation in HR projects and initiatives such as coordination of Wellbeing initiatives, roll out of HR People Plan and related Employee Engagement activity, co-ordination of HR workshops & presentations and Diversity & Inclusivity Divisional activity.
  • Managing and processing the probation review process and related tasks, seeking procedural guidance or input required where needed.
  • Maintaining the HR Team Shared Drive and employee electronic and paper based personnel files in accordance with GDPR regulations.
