Here at Serco we are looking for an experienced Administrator to join the Offender Management Unit at HMP Dovegate. Reporting into the OMU/Hub Manager, your responsibilities will include assisting the Prison Offender Managers, with the generating and safe handling of all documentation relating to new arrivals, as well as residing offenders at HMP Dovegate.

As our new Case Administrator, you will maintain a high level of security and ensure that all information, both written and oral in relation to staff and prisoners, are kept confidential. As part of your role, you will be required to effectively communicate both in writing & verbally with external agencies include Police (IOM), Probation, Magistrates and Crown Courts and other Prisons to ensure that all offenders that are received in custody have the appropriate documentation. As part of your role, you may be required to assist in specialist areas like Parole, Public Protection, Custody and Home Detention Curfew. Other key duties will include:

  • Working closely with Prison Offender Managers/Supervisors to assist with the administration for all transfers, new receptions into custody and discharges including producing licences for offender's post release.
  • Initiating and collating reports for forwarding to relevant internal departments and external agencies within specific time scale.
  • Be aware of and work within the legislation of the Health and Safety at Work Act, with particular attention to the safe systems of work applicable to your area.
  • An essential element of the role is to carry out sentence calculations in line with the PSI guidelines, so upon completion of training you will be required to maintain your competency levels.


Due to the nature of the role, it is important that you are able to plan and organise your workload proactively in a busy environment and demonstrate a positive attitude to change and a flexible approach to your workload. You will also be required to attend and complete prison service training to enable you to carry out all case administration duties as stated in the specific requirements.

What you will need to do the role:

In order to carry out this role successfully, you must have a good understanding of Offender Management Unit work and experience of working in a custodial environment would be advantageous however not essential.

It is vital that you have excellent IT, written & oral communication skills as you will be working in a busy office environment. You will be confident in your own ability to work alone using your own initiative as well as maintain good working relationships with colleagues within your team. You must have a good standard of education including English & Maths.
