Britain???s emergency services work 24/7 to serve the public in some of the most dangerous and challenging situations. To help them do their job even better the home office programme is creating the next generation mobile communications network, including secure and resilient voice and broadband data services, which will be used by thousands of frontline police officers, paramedics, and fire-fighters.


This is an exciting, challenging, fast-paced and complex programme, delivering cutting edge technology that will directly impact people???s lives.


The Central PMO Team are the heart of the Programme, instilling controls, best practice and monitoring and reporting on the delivery progress.


It is required that all people working on the role perform their roles according to the overarching principles and ways of working with suppliers and customers and in line with the collaborative behaviour???s framework.


Responsibilities


  • Lead the collation of the board meeting papers
  • Act as the PMO Quality Gate, reviewing submissions
  • Proactively follow up on late paper submissions or queries
  • Manage the meeting calendar invite/ and call logistics
  • Maintain the actions Log, chasing for updates
  • Issue communications and circulate final papers, call details etc
  • Attend preparation calls with Suppliers to achieve sign off the final paper
  • Facilitation of board meetings, capture minutes, actions & decisions
  • Maintain the Programme Governance Document repository and SharePoint
  • Maintain the PMO Governance Handbook document
  • Proactively identify areas for process improvement
  • Support the Head of the Central PMO with the production of the Quarterly report
  • Work collaboratively with the PMO Leads to agree on the reporting requirement and roll out of Microsoft Project Online (MSPO)
  • Maintain the PMO Reporting Handbook document
  • Work collaboratively with the Programme Governance Forum submission owners
  • Support the Programme Director & Central PMO Lead
  • Support the External Users with Programme Governance queries
  • Engage with the Director's Office and wider Programme Team
  • Engage with the 3rd Party Suppliers


Essential:

??       We are currently looking for candidates who have more than 4 years of experience

in Project Support roles.

??       Problem-solving skills

??       Experience of minute taking at project meetings/boards

??       Experience in working with senior leaders.

??       Experience of programme risks, issues, change and milestone planning.

??       Experience of working in a pressurised environment with deadlines.

??       Experience of MS Teams

??       Good attention to detail

??       A desire to learn and adapt as the programme continues to deliver.

??       Initiative and organisation skills

??       Excellent communications skills, both verbal and written

??       Reporting & Analysis

??       Support scheduling and management of meetings

??       Proficient in PowerPoint and Excel

??       Experience of working in a PMO environment.

??       Raid logs

??       Ability to work and act under own initiative under pressure and be creative in tackling

??       Challenges and finding solutions

??       Support scheduling and management of meetings

??       Teamwork and managing dependencies

??       Understanding requirements and basic project plan work

??       Experience of working in a busy, evolving environment

??       Strong communication skills, including communicating to different levels and groups in

the organisation

??       Good presentation skills

??       Training will be provided on Ms ??? Project online.
