Job Description Summary For our GE Healthcare Pharmaceutical Diagnostics Integrated Supply Chain, we are currently looking for a global Executive Assistant. Attached to the Global Integrated Supply Chain Leader, you will assist the executive on her/his priorities.

Job Description Roles and Responsibilities
  • Manage multiple projects and priorities, and take charge of their follow-up to ensure that commitments are met within the allotted time,
  • Establish and develop strong relationships with the administrative staff and secretariats of the Group, Divisions and Services to facilitate exchanges,
  • Prepare presentations, reports, spreadsheets, meeting minutes and other information materials,
  • Participate in the management of expense accounts and budgets;
  • Prepare and share internal communication campaigns to recognize success and foster an environment of belonging,
  • Proactively coordinate your manager's schedule (management of a meeting and travel schedule). Plan, schedule and organize business meetings and travel itineraries, ensure the validity of visas and passports, prepare and reconcile the expense accounts of the division; process your superior's travel expense records,
  • Direct business contacts to the relevant officials and coordinate escalation within the leadership team,
  • Write, evaluate and modify any communication to or from executives,
  • Provide discreet and confidential coordination of sensitive business information.

Required Qualifications
  • You have proven experience in assisting executives leading global international and diverse teams.
  • You master common computer tools like Outlook, Teams, PowerPoint and Excel.
  • Organized, rigorous, you are also an excellent communicator (English oral and written).
  • Knowledge and/or interest in LEAN methods and standard work, always working from a LEAN mindset. Proactively drives improvement of day to day activities while demonstrating a behavior of thinking ahead of the curve. Engage and implement small continuous improvement projects.
  • You like working transversally and have a very good relationship, which facilitates your daily exchanges. Proactive, you know how to work methodically, analytically, and make decisions in ambiguous situations.
  • Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information.
  • You have strong sensing skills which help you to assess organizational engagement and be a coach to your manager.

Desired Characteristics
  • You have a BAC + 2/3 level of management assistantship, and / or have equivalent experience / knowledge.
    Strong organizational skills and a keen sense of detail and precision.
  • Ability to set priorities and anticipate needs, make decisions in ambiguous situations and to balance workload with tight deadlines and change priorities in a rapidly changing environment.
