DESCRIPTION OF DUTIES

Your daily role responsibilities with our company will be as follows:

  • Planning and execution.
    Assist with the day-to-day administration and operations of the
    NSF team. Organize, schedule and coordinate relevant meetings
    with stakeholders and customers. Remain aware of NSF priorities
    in order to independently organize and prepare meetings.
  • Information management
    Oversee the service desk system and maintain effective follow-up
    and/or reminder system for pending actions. Channel information
    to the relevant service as necessary and coordinate timely
    responses and actions. Take minutes at meetings as necessary. 
  • Knowledge management
    Collect, categorize and track relevant information required for
    various tasks and projects by updating electronic filing systems.
    Interpret data by building dashboards for stakeholders or
    management.
  • Stakeholder management
    Serve as first point of contact for requests of a varying nature
    directed to the NSF team to ensure timely responses. Maintain
    internal and external contacts.
  • Expertise development
    Proactively develop skills in areas such as data analysis and
    dashboarding. Improve knowledge on the NSF team activities.
  • Financial management
    Assist on procurements to be done by the NSF team to ensure
    service continuity. Support on administrative matters by assiting in
    the timely and effective delivery of financial tasks such as the
    submission of varied Purchase Requests and Orders. Overview to
    internal NSF budget by maintaining in and outgoing financial flows.
    Produce project data reports and dashboards for management.
  • Perform other duties as may be required.

REQUIRED QUALIFICATIONS

  • Bachelor preferable Master degree in business administration or
    related
  • Work experience as part of multinational teams dealing with a
    variety of stakeholders
  • Good knowledge of software packages, in particular the 
    Microsoft Office suite and Microsoft Power BI
  • Proven organization and coordination skills
  • Experience working with online communication tools (MS Teams) 
  • Experience or interest in using PowerBI to analyse data and build dashboards 
  • Demonstrate flexibility and capacity to respond to changing
    requirements
  • Experience of budgetary and financial support duties
  • NATO Secret clearance or National equivalent 
  • Ability to work in duty location unencumbered
