Role Summary

Providing comprehensive Executive Assistant support to the CEO, this is a fast-paced position in which you must have an exceptional eye for detail. You must be used to last minute alterations and prioritising an ever-changing workload in a pressurised and corporate environment. You will have proven experience of managing confidential information, inboxes, booking complex travel itineraries, diary management and supporting with various operational related projects at a senior level.

You will also lead the executive support team. This involves working as part of the team, making sure the workload is balanced, ensuring absences are covered and assisting with resolving any issues that arise.

Core Responsibilities

  • Performs advanced administrative services, managing one or more executive's schedules, travel planning and arrangements
  • Uses broad knowledge of company operations, analyses conflicting situations and identifies alternative courses of action
  • Researches and books best travel options for executive; staying within departmental budget, while maximising resources
  • Manages projects in support of business objectives and provides metrics reports and analysis of data
  • Schedules and manages executive meetings, prepares presentation materials, attends meetings and compiles meeting minutes
  • Uses tact and discretion when handling information of a sensitive or proprietary nature
  • Consistent exercise of independent judgment and discretion in matters of significance
  • Regular, consistent and punctual attendance is required. May need to work nights and weekends, variable schedule(s) and additional hours as necessary


Skills, Knowledge and Abilities

  • Knowledge and experienced as an Executive Assistant with the ability to interact professionally with associates on all levels
  • Experienced within a manufacturing/industrial global organisation
  • Demonstrated ability to work independently and maintain confidentialities
  • Demonstrated analytical skills and judgment to proactively identify and solve problems
  • Experienced of managing and inspiring other team members
  • Strong attention to detail, good organisational skills and the ability to prioritise with changing situations
  • Excellent interpersonal, written and oral communication skills to drive tasks to completion
  • Proficient in Microsoft Office Suite and database management tools
