THE OPPORTUNITY

We are actively seeking a highly personable and technically astute Administrative Assistant. The ideal person for this role will have experience providing human resources management support within NATO, the MoD, civil service, the wider armed forces or a defence organisation. You will be responsible for various tasks related to technical support. This work is located in Brussels, Belgium and will suit those either already living there or willing to work within that location unencumbered. Sound like a great fit?

THE ROLE

Your daily role responsibilities will include:

  • Act as a first point of contact to the Head, Human Resources, managing a wide range of issues with the upmost integrity, diplomacy and tact.
  • Execution of diary management activity, coordinating and scheduling diary commitments and day­-to-­day business, delivering an efficient and effective administration service to the Head, Human Resources.
  • Manage all Head, Human Resources meetings, ensuring timely planning and coordination of meeting preparations, covering agenda, briefing pack and appropriate travel arrangements.
  • Provide personal and administrative support to the Head, Human Resources, ensuring the efficient daily operation of the office, including personal scheduling and the Agency Time Accounting System (TAS).
  • Proactively develop skills in areas such as planning and organising, new technology, languages and effective communication.
  • Provide constructive suggestions to improve office procedures and actively chip in to existing organisational structure and procedures to maximise use of resources and inspire innovation.
  • Performs other duties as may be required.

REQUIRED QUALIFICATIONS

  • You possess diploma level qualification or vocational training or equivalent work experience in related field.
  • Experience in administrative work, preferably in Human Resources, or related relevant environment.
  • Sound experience with Microsoft Office applications.
  • Excellent interpersonal, communication and organisational skills.
  • Proven ability to communicate information in a clear and logical manner, both in writing and by other means with extreme accuracy and attention to detail.
  • Experience working in an environment with a high volume workload and a flexible, service ­minded attitude and the ability to take the initiative.
  • Ability to obtain and maintain a NATO Secret Security Clearance.
