About the role
Here at Babcock International we're looking to a FM Co-ordinator to support the Facilities team on the Estate, liaise with landlords, contractors and visitors, providing continued support to the Business Services Manager and Facilities Supervisor as well as acting as an integral part of the team
You will report directly to the Business Services Manager, and includes but is not exhaustive to the following duties and may require undertaking any other reasonable requests:
Informing reception, security and local base of access arrangements and authorisations. Raising Permits where required with AIA in accordance with site works. Coordination of all Planned Preventative Maintenance. Arranging hire of access equipment. Requesting Risk Assessments and Method Statements before service visits. Ensuring expected visitor and contractors are booked in with reception and security.

Assisting the Facilities Supervisor in all aspects of health and safety for the building. Assisting the Facilities Supervisor in carrying out detailed site inspections on a regular basis. Supporting the Facilities Supervisor in ensuring that all site records are maintained in a comprehensive and accurate state.

Managing the facilities cost tracker and recording each cost Supporting the Business Services Manager in the compilation of any finance reports as required in relation to the FM Core Contracts & Reactive Maintenance budgets. POC for any invoice queries for the department. Raising RFQ following procedures as detailed by Procurement No PO no Pay policy.

Managing and Maintaining up-to-date statutory service records and regulatory certification. Managing and Maintaining the TABSFM System. Responsible for raising Annual & Reactive RFQ's and issuing purchase orders to contractors in response to quotes as authorised by the Facilities Managers; keep purchase order log up to date, ensure receipt of all invoices relative to issued purchase orders. Assisting and deputising for the Facilities Supervisor. Providing reception & travel cover in event of staff holidays or sickness. Providing back up for completion & coordination of airside passes.

What do I need to do the role?
You'll need proven experience in a property/ facilities organisation and IOSH qualification desirable
Would also like you to have experience in all or some of these areas:
  • Ability to prioritise workload and manage expectation of senior stakeholders
  • Good interpersonal skills; capable of communicating at all levels.
  • Competent IT skills - proficient in Microsoft Office software packages.
  • Interest in continuous improvement and development of new technologies.
  • Actively builds and develops relationships with colleagues, customers, clients and third party service partners
