The Candidate

A highly organised and personable individual that thrives under pressure, the ideal candidate for this key role will have recent experience providing support to senior stakeholders within, NATO, the MoD, civil service, the wider armed forces or a defence organisation.

The role

Role responsibilities: 

  • acts as the liaison for any official visits hosted by the General Manager or senior level executive staff;
  • coordinates the preparation of programs and briefing material for visits by the General Manager and/or Chief of Staff outside the main Agency location;
  • serves as the Agency NATO Protocol expert;
  • develops programmes to support senior level visits;
  • provides event planning and protocol support for all ceremonies, visits or senior level events. 
  • identifies and supervises personnel required to support major events;
  • coordinates support from other Agency sections;
  • makes recommendations and coordinates hospitality planning for events hosted by the General Manager;
  • controls and approves hospitality funding requests;
  • develops and maintains the VIP Visits calendar making recommendations to senior management for consideration of events/visits to be included;
  • works in close coordination with the Conference Services section regarding conferences or events attended by the General Manager or other senior management staff;
  • maintains contact with other senior assistants throughout NATO and national offices;
  • coordinates feedback on visits to and from the Agency to capture actions and decisions;
  • deputises for higher grade staff;

The opportunity 

This is an exciting opportunity for a highly organised and diligent Administration professional to take up a pivotal role in supporting senior personnel within NCIA. As an integral member of the NCIA team, the incumbent is responsible for planning and executing visits as well as providing services directly related to developing visit programmes for senior-level official visitors to the NCI Agency providing assistance for events involving senior management and undertaking special projects as required. This opening would suit someone with a strong admin background that enjoys a busy environment where compliance to procedures and the ability to remain calm under pressure are key. The location of this role will be in the NATO HQ in Brussels.

Minimum Requirements

  • Prior experience in a dynamic, executive office environment with duties involving protocol support and programme development.
  • A vocational training at a higher level in a relevant discipline or equivalent.
  • Sound experience with Microsoft Office applications.
  • Excellent organisational and administrative skills.
  • Accuracy and attention to detail.
  • Aptitude for learning and using new technology.
  • Working in an international environment comprising both military and civilian elements;
  • Citizen of one of the NATO nations
  • Ability to obtain a NATO clearance
  • Unlimited right to reside and remain in the host country

Desirable skills

  • Prior experience working in an international environment comprising both military and civilian elements.
  • Experience in the administration of official Hospitality Funds.
  • Knowledge of NATO responsibilities and organisation, including ACO and ACT.
