Job Details

Purpose of role:   As project coordinator responsible for planning, monitoring and controlling activities across the full program portfolio, with opportunity to progress to project management role on smaller projects
Person specification
Key Technical Skills & Non-technical competencies:
  1. Quick and skilled in using Microsoft Office packages such as Excel, Powerpoint and Word. 
  2. MS Project is beneficial but not mandatory as training shall be provided.
  3. Ability to work well with other people and retain calm under pressure.
  4. Ability to extract information from technical delivery teams in Q&A sessions to inform the planned status.
  5. Ability to take ownership and make decisions while retaining awareness of when to escalate.
  6. Focussed on solutions and anticipation of future problems based on historical lessons.  
Company/Industry Knowledge:
  1. Experience in the aviation industry would be beneficial however is not mandatory. 
  2. Interest in project management and aviation
 
Qualifications:
  1. 5 GCSE's A*-C including English, Maths & Science
The role will require the successful applicant to undergo a training course as part of the apprenticeship programme.
 
Top 4 Major Tasks and Activities:
  1. Establish a baseline project plan / schedule identifying resource, materials costs and risk estimates - report variance against that baseline on a monthly basis, and identify recovery plans as required  
  2. Maintain project plans by collecting status from delivery teams and producing status reports progress against plan baselines.  
  3. Schedule and record minutes at major and recurring program reviews such as risk reviews, lessons learned and program milestone reviews. (not expected to take minutes at technical reviews where technical accuracy will be difficult to assure)  
  4. For smaller / routine projects act as project manager monitoring for project team issues / conflicts and provide an escalation path for resolution. 
    (If candidate has no previous project management experience this part of the role would be supported by the existing programme management team if required and considered as in-house training.)  
 
Additional Key Accountabilities:
  1. Support project administrative tasks such as setting up time booking codes and invoice authorisation/monitoring. 
 
 
Revenue/Budget/Cash management responsibility:
Responsible for reporting spend and forecast costs across projects.
 
Key Outputs/Deliverables:
  • Updated project plans
  • Project monitoring reports (variance reports, actions, resource capacity charts etc)
  • Risk register maintenance
  • Change Control Documentaton
  • Invoice authorisation
