Job Title:                    Payroll Specialist
Reports to:                  Payroll Manager
Division:                       Babcock Corporate Services Ltd
Direct Reports:           None, but may act as 1st referral point for Payroll Administrators
 
 
Job Description:
 
  • Objective: The post holder should ensure the timely and accurate implementation of current payrolls moving across to new system, maintaining a high level of accuracy and attention to detail. Be able to analyse differences from system and reports.
  • Accountability: The Administrators report directly to the Payroll Manager or Senior Payroll Manager they are assigned to. They will also report to the Head of Payroll when required. The Senior Administrators will have limited Supervisory responsibilities; however they will assist the Administrators when required.
  • Relationships: The role of Payroll Specialist will require the post holder to be an integral member of the Payroll Team. The Senior Administrator will work with the rest of the team, as well as working on their own initiative. The main area of liaison will be with HR and Finance personnel associated with the Payrolls they are working on and they will act as Primary Contact.  There will also be the need to liaise with external organisations, such as the HMRC, Banks, and Courts etc.
  • Key Performance Indicators: It is essential that the Senior Payroll Administrators work to a high level of accuracy. All work tasks must be undertaken accurately, on time, efficiently and effectively. Statistics will be kept to record these Key Results in the Payroll Service provided to all clients by all Payroll Employees. A high level of Customer Service and Inter personal skills must be demonstrated at all times. These skills must be used for effective communication with all Payroll Contacts at all times.
 
 
Key Tasks:
 
  • Responsibility for Processing of weekly/monthly payrolls parallel implementation as assigned
  • Working through implementation results to identify issues and ensure they are resolved
  • Efficient Maintenance of employee files
  • Timely/Accurate inputting of payroll related data. Including New Starters /Leaver Records
  • Accurate updating of staff records via the Company Payroll System
  • Accurate checking, analysing and reconciling of payroll reports
  • Ensuring Statutory & Company Rules are correctly adhered to
  • Accurate Monthly reconciliation for tax, NI and pension contributions
  • Calculate and Maintain Statutory and Company Maternity Pay Records
  • Accurate Input of Employee Tax & NIC Details
  • Calculate all Payments accurately and on time. Ensuring strict adherence to all Pay Schedules
  • Demonstrate effective communication skills when liaising with HR and Statutory Bodies
  • Assist with Development of Administrators when required
  • Seek to Assist Payroll Manager where required
  • Provide effective cover for Payroll Manager where required
  • Accurately complete review Statistics on time
  • Any other duties as deemed necessary by the Payroll Managers
 
 
Working Conditions:
 
The Administrators will be based at Babcock Group, Lakeside. This will mean working late and working scheduled days off (alternate Mondays for Full-time) when required by deadlines.
 
Currently the Hours are:
  • Tuesday to Friday      08.00 to 17.00  (45mins Lunch between 12.00-14.00)
  • Monday                     08.00 to 17.00   (1hour   Lunch between 12.00-14.00)
 
 
Person Specification
 
Qualifications and Experience:
 
  • Min 5 yrs Current Payroll Experience
  • Administration skills essential
  • GCSE in Maths & English
 
Essential Technical & Specialist knowledge
 
  • Highly Proficient System User, with knowledge of its capability and practical application (SAP/Resource-link/Successfactors Desirable)
  • Good Microsoft Office IT skills, advanced excel skills
