General Description of Job
Phoenix Fleet Management Team; provide a leading fleet management service to all MOD customers worldwide. This Administrator role is a temporary post to assist the Fleets and Services Excellence Manager to validate legal and compliance data on the businesses new Clarity Manager IT system.
 
This is a very important role to ensure the vehicles operated by their customer are safe and legal. A matrix of checks will be provided to the successful applicant and guided by the manager in technical areas where required. 
 
Typically the work will involve you using different sources of information using the DVLA and VOSA websites; this is to validate data stored in our new IT system. There may be a requirement for lease providers of the vehicles to e-mail scanned copies of documents to comply with our ISO accreditation.
 
We need to deliver clear and accurate information to the customer who also has visibility of our IT system, inputting accurate data is key to this role. Continually maintain a professional relationship with all customers, and the Phoenix supply chain partners, providing an excellent customer service and mindful at all times we maintain Babcock's quality and health and safety values.    
 
Main Tasks
  • Validate vehicle data within Clarity Manager as per matrix and identify any overdue, missing or incorrect data. Review results with line Manager and update Clarity Manager with confirmed accurate data.

  • To provide administrative support to a wide variety of vehicle focused activities including scheduling, maintenance and incident management if required.
  • Liaise with both suppliers and customers where needed both verbally and by e-mail.
  • Ensure that processes are maintained in line with Babcock's corporate governance policies, processes and procedures including those relating to Health and Safety, Quality and the Environment. 
 
Experience and Qualifications 
 
  Essential                                                                                              
  • Educated to GCSE level
  • Competent on MS Office (Word, Outlook, Excel, PowerPoint, SharePoint)
 
   Desirable
  • Experience of fleet management
  • Experience of maintenance within a workshop environment
  • CPC Licence
  • Knowledge of the Transport Industry
