Job Details
To deliver a professional reception service and ensure the facilities management provision is monitored to Babcock employees and visitors.

Main Purpose of Role
The successful candidate will be situated front of house/reception and will therefore be the "face of Babcock House".
This person will be flexible, proactive and ready for a different, and at times demanding, challenge every day. They will have a willingness to assist no matter what the query or task presented to them and must be able to cope under times of pressure.
Flexibility is the key to the success of this role.

Main Responsibilities:
  • Be the first point of contact at Babcock House reception
  • To greet and escort visitors as and when required
  • Responding to any queries in an appropriate, timely manner
  • To help staff book meeting rooms and ensure a Visitor Notification form is completed
  • Preparation of meeting rooms
  • To abide by security processes and ensure all staff and visitors are wearing correct ID badges
  • Updating and maintaining the security clearance database
  • To report any Health and Safety issues to the Office Manager
  • To report any accidents to the Office Manager and ensure the accident book is completed correctly
  • To report any security issues to the IS service desk and the Office Manager
  • To report any cleaning issues to the Office Manager
  • Ensure the sign-in lists are completed by staff each morning and kept up to date
  • To attend relevant monthly meetings
  • To keep all paperwork in the reception folders up to date
  • Help staff with any IT queries and report any IT issues to the IS service desk
  • Answer any incoming calls and help deal with any queries
  • To undertake the weekly fire alarm test and any fire drills with the Office Manager
  • Complete weekly fire safety checks, reporting any breaches to the Office Manager
  • Take the post deliveries and hand them out to the relevant staff members
  • To check all badges have been returned at the end of each week
  • To deliver the building induction to new starters and initiate new starters IT accounts and security clearance
  • To action catering requests
  • Ordering of stationery and consumables to maintain stock levels
  • Ensure all building maintenance and general day to day issues are collated and directed/actioned promptly in line with the in house processes & procedures

Experience of use Microsoft Office programs including Outlook, Word, PowerPoint and Excel
Previous experience in receptionist role
Security cleared

Smart appearance at all times no matter what task is being carried out.
Ability to work within a small team/customer and have the willingness to multi task to support and offer a seamless service to all building occupants and visitors.
Excellent telephone manner & face to face interpersonal skills.
Basic level of competence of Microsoft Office including Word/Excel/Outlook/Powerpoint
Ability to "think on your feet" and take action when required.
Clear understanding of the importance of appropriate security measures to meet the expected standards of service.
Willingness to train and learn new tasks as required by the business in order to meet Babcock and role specific requirements.

Successful candidates will need to satisfy Ministry of Defence security requirements and may be required to complete a medical assessment.
The role will be in an environment regulated by Trade Control legislation and involve working with controlled goods, technology and/or services. This may require you to meet enhanced security and regular screening checks.

This role is based at Babcock House, Filton in Bristol, a vibrant city in south west England with a wide range of attractions, landmarks, events and shopping. It has excellent transport links and is only 1.5 hours from London by train.
