PMO Assistant Administrator (SC Cleared)

A PMO Assistant Administrator is needed to assist the PA/PMO Analyst by providing high quality administrative support to the Portfolio Delivery Leadership Team and in support of the large number of projects which exist in the Portfolio. This will involve extensive calendar management, including arranging of calendar appointments and organising meetings. Additional administrative tasks are also required such as setting up meeting rooms, and compiling meeting papers.


The primary responsibility of the PMO Assistant Administrator will be to support the Head of Portfolio Delivery with extensive diary management and in addition the Portfolio Delivery Leadership Team through proactive calendar management, and liaising with internal and external parties on occasions to assist with the scheduling of numerous project meetings required across the Portfolio Delivery department. Key activities will include:

  • Proactive calendar management - organising timely meetings and avoiding clashes. This will be 70% of this role.
  • Setting up meeting rooms for internal and external meetings ensuring the necessary equipment is available. (including liaising with external parties)
  • Submitting IT account requests
  • Maintaining filing and record keeping systems
  • Collating and circulating meeting papers
  • Processing stationery orders

This is a pivotal role within team and as such the post holder is expected to work across all Portfolio Delivery functions and alongside the Head of Portfolio Delivery and Portfolio Leadership Team.


  • Outstanding time management skills are essential
  • Excellent inter-personal and communication skills in both oral and written format.
  • Excellent prioritisation and co-ordination skills, combined with the ability to work to multiple deadlines under pressure.
  • Good verbal and written communication skills with accuracy and attention to detail is required
  • Must be confident to ask questions and seek resolution whilst exercising tact and discretion regarding disclosure of confidential information.
  • Accomplished in the use of Microsoft Office applications, particularly MS Outlook and Excel.
  • Demonstrates ability to show initiative and problem-solving skills.
  • Demonstrates ability to pick up new information and skills quickly.
